The schedule a small museum really has
Front desk and gift shop staff on their regular days. Docents who give tours at set times. Volunteers who come when they can. A bus group on Thursday and a school group on Friday.
Most small museums keep all of that on a paper calendar, a spreadsheet and a volunteer sign-up sheet. When someone calls in sick, whoever keeps them spends the morning on the phone.
What Cana Crew does about it
- One calendar for everyone. Paid staff and volunteers on the same schedule, which also shows in each person's own Google Calendar.
- Docent badges. Only people certified for a tour can fill its slots.
- Tours at set times. Four tours a day, say, with morning, afternoon or full-day guide shifts.
- School groups and bus tours. Each gets its own size, contact, payment details and staffing.
- Everyone picks their days. Staff pick regular days by seniority; volunteers choose their own days and hours.
- Call-outs that find their own cover. One tap takes someone off the day, and eligible people are asked one at a time until it's covered.
- Timesheets without the paper. Staff clock in on a phone, and the manager approves the hours with a click.
- A Logbook. Complaints, injuries, ideas, and lost and found with a dispose-on date, so the next shift isn't surprised.
What it costs
$150 a year for the whole museum: unlimited staff, volunteers and locations, with setup done for you. The 60-day free trial counts from the first day of your season, so setting up over the winter costs nothing. The first five places to sign up get their first full year free.
