Cana Crew is a scheduling program for staff and volunteers at lighthouses, museums and similar sites. Each site (a "client") runs its own copy with its own people and data. Cana Crew is made by Manifest Destinations Group, Inc. This page explains what Cana Crew keeps, who else handles it, and the choices you have.

In short: Cana Crew keeps only what a schedule needs. It never asks for Social Security numbers, bank or card details, pay rates, birthdays or home addresses. It doesn't sell or share personal information, show ads, or track you across other websites.

What Cana Crew keeps

For each person a site adds: name, email address, phone number if given, start date, the days they can work, their schedule, days off, hours worked, any notes a manager adds to their card, and a password (stored only in scrambled form). A site's managers add and change this; each person can see and change their own details on their own card. The site also keeps what its people write in its Logbook (for example, a lost item or an incident), its visitor counts, and its weather closures.

What canacrew.org itself collects

The free-trial form asks for the place's name, your name, your email and anything you'd like to tell us; it also keeps your time zone and the internet (IP) address the form came from, to stop abuse. The contact form sends your name, organization, email and message to us by email; it doesn't store them anywhere else. canacrew.org uses no analytics, no advertising and no tracking pixels, and its only cookie is the one the Android app uses to remember your site (below).

Cookies in the program

Cana Crew's sites use cookies only to keep you signed in and to remember a device you've verified. They aren't used for advertising or tracking.

What it's used for

Only to run that site's schedule: showing who works when, finding cover, reminders, timesheets, weather closures and the site's own reports. Cana Crew does not sell or rent anyone's information, does not show ads, and does not share one site's information with another site — except between locations of the same organization that a person works at.

Who else handles information

Cana Crew uses a few outside services to run. Each sees only what its job needs:

We don't give anyone personal information for their own marketing.

Tracking across websites, and Do Not Track

No other company collects information about your activity over time and across different websites through Cana Crew, and Cana Crew doesn't do so either. Because there's no tracking, a browser's Do Not Track or Global Privacy Control signal has nothing to switch off; if that ever changes, we will honor those signals.

Google Calendar

If a site turns it on, Cana Crew uses Google Calendar to put that site's schedule into its people's calendars, through a Google account Cana Crew runs for that purpose (calendars@canacrew.org). Cana Crew only creates, updates and removes its own schedule entries and shares the site's schedule calendar with that site's people. It does not read, copy or change anything else in anyone's Google account, and it stops including a person as soon as they leave the site. Cana Crew's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.

Location, when clocking in

A site can choose to have paid staff clock in only when they're at the site. If your site has turned that on, then when you tap Clock in your phone or computer asks whether to share your location, once, right then. Cana Crew uses it only to work out how far you are from the site, keeps only that distance in the site's log, and never keeps the location itself or asks for it at any other time. If you say no, you can't clock in from that device, and your manager can enter your times instead. Sites that pay scheduled hours, or that haven't turned this on, never ask for location at all.

The Cana Crew Android app

The Cana Crew app from Google Play opens the same Cana Crew website your site uses, full-screen. The app itself collects nothing extra: no contacts, photos, microphone, camera, advertising ID or tracking, and it asks for your location only in the one case described above, when you tap Clock in at a site that checks it. It remembers which site you use (a small cookie) so it can open straight to your schedule, and, if you allow notifications, it shows the same schedule alerts the website sends. Everything else on this page applies to the app exactly as it does to the website. The app is published by Manifest Destinations Group, Inc. (developer name “Cana Crew”).

Your choices

Anyone, wherever they live, can ask to see the information Cana Crew holds about them, get a copy, have it corrected, or have it deleted. Ask your site's manager, or email hq@canacrew.org from the address on your account. We answer within 30 days, and nobody is treated differently for asking.

California residents: the California Consumer Privacy Act covers businesses above a certain size, and Cana Crew is below it. We give you the same choices anyway, as above. Cana Crew doesn't sell or share personal information, and doesn't disclose it to anyone for their direct marketing.

Children

Cana Crew isn't meant for children under 13, and sites shouldn't add anyone under 13. If we learn that someone under 13 was added, we delete their information.

Deleting your account

To have your Cana Crew account and information removed, ask your site's manager, or email hq@canacrew.org from the address on your account with “Delete my account” and your site's name. We remove it within 30 days, except hours worked that your site must keep for payroll records, which are removed when the site no longer needs them.

Email and phone alerts

Cana Crew sends schedule emails (invitations, reminders, cover requests) and, if a person turns them on, phone alerts. Anyone can turn reminder emails off on their own card. Cana Crew doesn't send advertising.

Keeping and removing information

Information stays while a site uses Cana Crew. When a person leaves, a manager marks them inactive; when a site stops using Cana Crew, its information is removed. Free-trial sign-up details stay while the trial site exists; ask and we'll remove them sooner.

Security

Every page is served over an encrypted connection. Each site has its own separate database. Passwords are stored scrambled, sign-in keys on phones are stored scrambled, administrator powers need a two-step code on each new device, and access keys for outside services are kept outside anything the web can reach.

Changes to this page

When this page changes, the date at the top changes too. If a change matters to how your information is used, we email each site's administrators before it takes effect.
