Terms of Service
Effective October 26, 2026
These terms are the agreement between Manifest Destinations Group, Inc., which makes Cana Crew ("we", "us"), and the organization that uses it ("you", "your site"). The person who starts a free trial, signs up or pays for Cana Crew agrees to these terms for their organization, and confirms they're allowed to. Using Cana Crew, or ticking the box on the sign-up form, means your organization agrees to these terms and to our Privacy page.
What Cana Crew is
Cana Crew is an online program for scheduling staff and volunteers at lighthouses, museums and similar places. Each site gets its own private copy, with its own people and its own information. It includes scheduling, finding cover, reminders, clock-ins and timesheets, weather closures, visitor counts, the Logbook, and First Mate, the built-in helper. We improve Cana Crew often. If we ever take away something important that you use, we'll tell your administrators first.
Free trial
A new site gets 60 days free, with no card needed. The 60 days start on the first day of your season (or the day you sign up, if you're already open or open all year), so setting up in the off-season costs nothing. Nothing is switched off at the end of a trial without talking with you first. If you decide not to continue, we remove your site and its information, as described under Ending.
Founding sites
The first five organizations to sign up through the form on canacrew.org are founding sites. Each gets its first full year free, with no invoice for that year, counted from the first day of its season, and then pays $150 a year for as long as it keeps using Cana Crew without a break. Spots go in the order sign-ups reach us, one per organization. In return, we ask for a few honest sentences after your first season about what worked and what didn't; you choose whether we may quote them.
Price and paying
- Cana Crew costs $150 a year per organization, for unlimited staff, volunteers and locations, unless we agree on something else in writing.
- The five founding sites pay nothing for their first full year, then $150 a year (see Founding sites).
- We email an invoice for each year. It's due within 30 days. We never charge a card or bank account automatically, and a new year starts only when you pay its invoice.
- If we change the price, the new price starts with your next year, and we tell your administrators at least 60 days before. A founding site's $150 doesn't change.
- If an invoice is more than 30 days late, we'll remind you, and we may pause your site after giving at least 15 more days' notice. A paused site's information is kept for at least 60 days, and paying turns it back on.
- If you stop partway through a paid year, you can keep using Cana Crew to the end of that year; we don't refund the rest. If we end the service ourselves for a reason that isn't your fault, we refund the unused part of the year.
- Prices don't include any tax that may apply.
Your information
What you and your people put into Cana Crew belongs to your organization. You let us store it and use it only to run your site, help you with it, and keep Cana Crew safe and working. We don't sell it, rent it, use it for advertising, or show it to other sites. Our Privacy page explains exactly what's kept and who else handles it. You can download your roster, schedule and hours whenever you like, and we'll send you a full copy if you ask.
What stays your call
Cana Crew organizes information and sends reminders and alerts. It doesn't run your site, and it doesn't replace anyone's judgment.
- Pay and work rules. You decide who works when, how people are paid, and whether someone is an employee or a volunteer. Your organization is responsible for following the employment and wage laws where you operate: minimum wage, overtime, meal and rest breaks, scheduling notice and record keeping. Some states, California among them, have rules (such as overtime after 8 hours in a day) that Cana Crew doesn't check for you. Review timesheets before you run payroll.
- Safety and weather. The Weather Safety Protocol, closures, the Panic Button and phone and email alerts are aids. Weather information comes from the National Weather Service and can be late, missing or wrong. Alerts can be delayed or never arrive (a phone is off, an email is filtered, the internet is down). Don't use Cana Crew as your only way to keep people safe: your site's own safety plan, your staff's judgment and emergency services (911) come first.
- Visitor counts are taps made by your staff. They're a guide, not a certified count of how many people are in a space.
- First Mate and the written notes in reports are produced by an artificial-intelligence service. They can be wrong. Check anything important before you act on it.
- Google Calendar copies of the schedule can lag behind. The schedule in Cana Crew is the official one.
Your part
- Keep sign-ins private. Your administrators decide who is added to your site and what each person can do, and they remove people who leave.
- Add only people you're allowed to add, and nobody under 13.
- Don't put information into Cana Crew that it doesn't ask for and doesn't need: Social Security numbers, bank or card numbers, or medical records. Keep Logbook and incident entries to what a report needs.
- Don't use Cana Crew to break the law, send spam, harass anyone, try to get into another site or account, overload or probe the system, or copy the program to build a competing one. Don't resell Cana Crew without our written OK.
If you're a staff member or volunteer
If your site invited you to Cana Crew, your site, not us, decides your schedule, your pay and what's kept about you, so ask your site's manager about those. The rules under Your part about using Cana Crew properly apply to you too. The Privacy page explains how to see, correct or delete your own information.
Keeping it running
We work to keep Cana Crew available, quick and backed up, and we fix problems as fast as we reasonably can. We can't promise it will never be down or that nothing will ever go wrong. Web hosts, the internet and phones all fail sometimes, and we sometimes need to do maintenance. Tell us about any problem at hq@canacrew.org.
Ours and yours
The Cana Crew program, its name and its look belong to Manifest Destinations Group, Inc. While you use Cana Crew, your organization may use it for its own sites. Your information stays yours. If you send us ideas or suggestions, we may use them to improve Cana Crew without owing you anything for them.
Promises and limits
Cana Crew is provided "as is" and "as available." Apart from what these terms say, and to the extent the law allows, we make no other promises, including that Cana Crew will be uninterrupted or error-free, or that it is fit for any particular purpose.
To the extent the law allows:
- We aren't responsible for indirect or follow-on losses: lost income, lost information you could have downloaded, missed or short-staffed shifts, wage claims, penalties or fines, or anything that happened because a closure, alert, reminder, count or note was late, missing or wrong.
- Our total responsibility for all claims together is limited to what you paid us for Cana Crew in the 12 months before the claim arose, or $150 if you hadn't paid anything (for example, during the free trial).
Nothing in these terms limits any responsibility that the law doesn't allow to be limited.
Claims about how you run your site
If someone (one of your people, a visitor, or a government agency) brings a claim against us because of how your organization scheduled, paid, managed or protected its people or visitors, or because of information your site put into Cana Crew, your organization will cover our reasonable costs of defending it and any amount we have to pay, to the extent the law allows. We'll tell you promptly and let you have a say in how it's handled.
Ending
- You can stop at any time: tell us at hq@canacrew.org.
- We can end your use with 60 days' notice for any reason, refunding the unused part of a paid year, or sooner if these terms are seriously broken (for example, misuse, or an invoice left unpaid after notice).
- When your use ends, you have 30 days to download your information or ask us for a copy. After that, we delete your site and its information. Copies in our backups are removed as those backups are replaced.
- The sections on ownership, promises and limits, claims, and disagreements still apply after your use ends.
Changes to these terms
When these terms change, the date at the top changes too. If a change matters, we email your site's administrators at least 30 days before it applies. If you don't agree with a change, you can stop using Cana Crew before it applies, and we'll refund the unused part of a paid year. Using Cana Crew after a change applies means your organization accepts it.
If we disagree
- Talk to us first. Email hq@canacrew.org and give us 30 days to put things right. Most things can be fixed with a conversation.
- Then, if you like, mediation. Manifest Destinations Group, Inc. is a member of the Better Business Bureau. If talking doesn't settle it, we'll gladly try the BBB's complaint and mediation help before either side goes to court. Mediation doesn't bind either side.
- These terms are governed by the laws of the State of Florida.
- Any dispute about these terms or Cana Crew will be decided only in the state or federal courts for Pinellas County, Florida, and both sides agree to those courts' authority.
- Claims can be brought only individually, not as part of a class or representative action, and both sides give up the right to a jury trial.
- Any claim must be brought within one year after it arises.
The rest
- These terms, the Privacy page and any invoice or written agreement between us are the whole agreement. If we sign a separate written agreement with your organization, it wins wherever the two differ.
- If any part of these terms can't be enforced, the rest still applies. If we don't enforce a part at some point, we can still enforce it later.
- Neither side is responsible for delays caused by things beyond its reasonable control, such as storms, power or internet failures, or a host's outage.
- Your organization can't transfer this agreement to anyone else without our OK. We may transfer it to a business that takes over Cana Crew, and we'll tell you if we do.
- We send notices by email to your site's administrators. You send notices to hq@canacrew.org.
- Visitors who only browse canacrew.org or try the demo may use them freely. The demo's people and schedules are made up, and the sections on proper use, ownership, promises and limits, and disagreements apply to visitors too.
